Transaction Coordinator

About the role

We are seeking a proactive, detail‑oriented Transaction Coordinator to oversee short‑term rental (STR) real estate deals from lead generation through closing. The role focuses on high‑volume Zillow‑driven transactions and requires strong coordination across agents, buyers, sellers, and third‑party vendors.

Key responsibilities

• Coordinate end‑to‑end STR real‑estate transactions, from lead to closing.
• Assist in drafting, reviewing, and managing purchase agreements and related contracts.
• Track and follow up on Zillow‑generated leads to ensure timely conversion.
• Serve as the central communication hub between co‑broking agents, buyers/sellers, lenders, title companies, inspectors, and other vendors.
• Schedule and monitor home inspections, appraisals, and other due‑diligence activities.
• Ensure all documentation is complete, accurate, and submitted on schedule.
• Maintain organized transaction records and regularly update CRM systems.
• Monitor deadlines, contingencies, and closing timelines to keep deals progressing smoothly.

Required profile

• Proven experience in real‑estate transaction coordination (STR experience preferred).
• Strong understanding of contracts, real‑estate documentation, and closing processes.
• Experience working with Zillow or similar online lead‑generation platforms.
• Excellent communication skills and ability to manage multiple stakeholders.
• High attention to detail and strong organizational abilities.
• Ability to thrive in a fast‑paced, deadline‑driven environment.
