Grant Operations Administrator

About the role

Goodstack is seeking a Grant Operations Administrator to ensure grant applications move smoothly from intake to final submission. You will support a fast‑growing AI‑native social impact startup by managing calendars, extracting requirements from funder portals, compiling materials, and reviewing submissions for accuracy and visual coherence.

Key responsibilities

• Create, update, and maintain structured grant calendars for assigned nonprofit clients.
• Monitor internal target dates and buffers to keep writers, admins, and clients on schedule.
• Access funder portals and application software to extract exact questions, word limits, formatting rules, and required attachments.
• Format extracted questions into standardized templates for Grant Writers.
• Set up client login credentials and basic profile information on external portal platforms.
• Compile application materials and conduct final reviews for completeness, accuracy, and visual/textual coherence before submission.

Required profile

• Experience in related administrative roles such as Proposal/RFP Coordinator, Bid or Tender Administrator, Loan Processing Assistant, Admissions/Intake Coordinator, or Junior Operations Coordinator.
• Proven ability to manage strict deadlines, navigate third‑party web portals, and chase missing compliance documents.
• Zero‑error mindset when reviewing detailed application packages.
• Strong organizational skills and attention to detail.

Required skills

• Proficiency with web‑based portals and document management tools.
• Advanced use of spreadsheet and word processing software (e.g., Excel, Google Sheets, Word, Google Docs).
• Ability to create and maintain structured calendars and templates.
