Logistics Coordinator – Advisor Partnerships

About the role

The Logistics Coordinator – Advisor Partnerships supports UJV’s growth by handling the logistical details behind industry events, familiarisation trips and client‑facing initiatives. Working closely with the Head of Business Development and senior directors, the role ensures seamless execution of all activities that strengthen relationships with luxury travel advisors and their exclusive clients.

Key responsibilities

• Organise and coordinate company participation in networking events, trade shows and conferences, managing invitations, RSVPs, registrations and event materials.
• Develop detailed itineraries for FAM (Familiarisation) trips, covering flights, accommodations, transportation and activities, using FamGuru for itinerary management and agent communication.
• Conduct post‑trip follow‑up, gather participant feedback and maintain accurate records of client information, bookings, invoices and financial transactions.
• Support client gifting initiatives, including flowers, e‑gift cards and branded items, and assist with year‑end gift purchasing.
• Assist in planning and executing webinars, handling registration, Zoom setup and preparation of presentation materials.
• Collaborate on special projects, override tracking, reporting and the organisation of invoices and signed agreements.
• Run production reports from Tableau and other platforms to support account reviews and client meetings.

Required profile

• 2–4 years of experience in coordination, logistics, events or a similar role.
• Strong organisational and detail‑oriented skills.
• Experience in hospitality, travel or business‑development support is a plus.

Required skills

• Proficiency with FamGuru for itinerary management.
• Experience using Tableau for production reporting.
• Familiarity with Zoom for webinar setup.
